Policies and Procedures

Scheduling your Event
The first step in planning your event is the reservation of a suitable space. Facilities are reserved many months in advance so we suggest that you contact The Office of Special Events and Conferences as soon as you begin planning your function. 

Food and Beverage Services
Aramark Dining Services provides all food and beverages at any event hosted on the Mount Ida College campus.

Alcohol Policy
All alcoholic beverages must be served by Aramark Dining Services and their staff.  Prior approval for the serving of alcoholic beverages is required.  In accordance with the Massachusetts State Liquor Commission laws, no guest shall be allowed to bring any alcoholic beverage on Mount Ida College’s campus.

Additional Charges 
Additional charges may be incurred during your function which will be billed following the event.

Cancellation Policy
Written notification of cancellation of an event must be received by The Office of  Special Events and Conferences 30 days prior to the scheduled event to receive a refund.  Please note that a 10% administration fee will be deducted from the original amount. In the case of inclement weather or an unforeseeable circumstance, The Office of Special Events and Conferences reserves the right to cancel any function with a refund or to apply the amount paid applied to a rescheduled date and time.

Insurance
A Certificate of Insurance naming Mount Ida College as an insured party is required for any event held on the Mount Ida College campus.  This certificate must be received no later than 60 days prior to the event.


Smoking
There is no smoking within any building on the Mount Ida College campus. Areas on the exterior of the buildings with ashtrays have been designated as smoking areas.

Public Safety
Some events may require Mount Ida College security officers.  Arrangements will be made at the time of the function reservation.  There will be an additional charge for any supplementary security.

Decorations and Signs
All decorations and signs must have approval by The Office of Special Events and Conferences prior to these items being affixed to any surface. Removal of these items will be the responsibility of the individual or group reserving the facility or there will be a fee charged for removal and disposal of these items.
