Procedures for Reserving a Room and Planning your Meeting or Event

When organizing a MEETING or EVENT please use the following procedures:

Check to see if the space you would like is available:

You can do this by following these steps: In your Outlook Calendar go to OPEN CALENDAR on the top bar.

  1. Click on OPEN SHARED CALENDAR.
  2. Type in your room name (please see the list below).
  • Alumnae Hall (varying set ups)
  • Hall of Fame Conf. Room (formerly Athletic Classroom – seats 16)
  • Miller Conference Room (conference table with 16 chairs)
  • Multi Faith Conf. Room (up to 30 chairs in rows, U-shape for 16 or varying set ups)
  • Wingate Conference Center (up to 260 seats in rows, 190 seats max* with table and chairs. *depending on food set-up.)

All rooms in the CAMPUS CENTER will start with a “CC”:

  • cc Dedham Room (seats 10)
  • cc Needham Room (seats 6)
  • cc Oak Hill Room (seats 35 in rows, 30 with classroom tables, or 5 rounds)
  • cc Theater (seats 160)

Reserve the room: Complete the room reservation form and submit here. Rooms can be reserved up to a year in advance. You will receive a confirmation within 48 business hours.

To book Dodge(AS 104), Classrooms or Space to be used for a class, please contact the registrar’s office at registrar@mountida.edu. If you will need catering, AV or any special set up, you still do need to fill out an Event Form.

Logistical Planning for your Meeting or Event

Please try to submit your Event Set-Up Form two weeks, or more, prior to your event.

After receiving confirmation of your room reservation, the next step would be to inform us of your needs to run a successful meeting or event. For example – Do you have AV needs for your meeting? Do you require any catering? Do you need tables or extra chairs? Would you like a room plan for a special set up? Would you like your event publicized? All these questions can be answered when you go to the Faculty and Staff Event Set-Up Form.

Confirmation of your request will not only be sent to you but all the relevant departments that will be involved in putting together your event. If necessary, you or your designee will also be invited to the weekly Conference & Events meeting that is held every Tuesday.
